Silent Disco 4 Hire Limited (“SD4H”)
The Hirer (“the Customer”)
By placing a booking, the hirer agrees to the following terms:
1. Damages and Loss
The hirer is responsible for all equipment from the time of delivery until collection. Any damage, loss, or theft will be charged to the hirer.
All damage or missing items must be reported to SD4H immediately. Costs for repair or replacement must be paid within 10 days of notification.
SD4H reserves the right to charge the hirer’s stored payment method for any such costs. Card details are stored securely and removed once the hire is completed and all equipment is returned in satisfactory condition.
2. Damage / Replacement Costs
£50 per headphone
£135 per transmitter
£15–£25 per lead/cable/charger
£40 per box
Missed collection/delivery: £35–£85
£4 tape
£2 information pack
£5 padlock
Phone connector: £16
Packaging/Foam: £15–£65
Additional Equipment:
£200 per iPod/MP3 player
£190 per smoke machine
£95 per moving head
£65 per mini laser lights
£200 per large laser light
£65 per LED/uplighting
£150 per UV light
All prices are subject to VAT and any applicable import charges.
A cleaning fee of £35 per hour may be charged if equipment is returned in an excessively dirty condition (e.g. stickers or residue applied).
Late payment of any outstanding balance beyond 2 days from the hire end date may incur a charge of 5% per day.
3. Delivery and Collection
The hirer must:
Ensure someone is available to receive delivery
Return equipment in original packaging
Attach provided return labels
Secure boxes using provided cable ties
Failure to comply may result in additional charges.
The hirer must not rearrange courier delivery or collection without prior approval from SD4H. Any unauthorised changes may incur additional fees.
SD4H is not liable for delays caused by failed delivery attempts where the hirer is unavailable.
4. Returns and Packaging
The hirer is responsible for ensuring all items are securely packed. Failure to secure boxes with cable ties may result in the hirer being liable for any loss or damage in transit.
SD4H recommends taking photographs of packed equipment prior to collection.
5. Payment, Transfers and Cancellations
5.1 Booking and Payment
A non-refundable deposit of 25% of the total hire cost is required to secure the booking.
Full payment must be received prior to dispatch of equipment.
5.2 Date Changes
Requests to change the hire date must be made at least 28 days before the scheduled delivery date and are subject to availability.
Where approved, up to 25% of the total amount paid may be transferred to a new date. Any remaining balance will be forfeited.
5.3 Cancellations
If the hirer cancels the booking, the deposit remains non-refundable.
Any additional payments (excluding the deposit) will be refunded as follows:
More than 28 days’ notice: 75% refund
14–28 days’ notice: 50% refund
7–14 days’ notice: 25% refund
Less than 7 days’ notice: no refund
Refunds will be processed within a reasonable timeframe.
5.4 Changes to Hire Package
No refunds will be issued for reductions in order size or changes to the hire package after booking confirmation.
6. Liability
The hirer is responsible for the safe use of all hired equipment.
To the fullest extent permitted by law, SD4H shall not be liable for:
any indirect or consequential loss
injury or damage arising from misuse of equipment
events not directly supervised by SD4H
Nothing in these terms limits liability for death or personal injury caused by negligence.
The hirer is responsible for ensuring appropriate risk assessments are carried out for events.
